Configure the WorkCentre 51xx to Forward a Fax to E-mail

NOTE: This solution applies to the WorkCentre 51xx with System Software version 21.120.39.000 or above. See the Related Content for additional information on how to determine the software version on your printer.

Pre-requisites:

  • Embedded Fax needs to be enabled and configured.

  • A fax line needs to be set up on the printer to send and receive, or receive only.

  • The printer must be configured and working properly on the network.

  • The e-mail or SMTP server must be configured and working.

From the computer:

  1. Open an Internet browser window.

  2. Enter the IP address of the printer in the Address field, and then press [Enter] on the keyboard.  CentreWare Internet Services will be displayed.

  3. Click on the [Properties] button.

  4. If the Login window is displayed, enter the user name and password in the fields provided, and then click on the [Login] button.

    NOTE: The default username is admin (case sensitive), and the default password is 1111.

  5. Click on the [Services] link.

  6. Click on [Embedded Fax], and then click on the [Fax Forward] option. The Fax Forward on Receive window will be displayed.

  7. Click on the [Edit] button for one of the five Fax Forward Rules in the Foward to Email section.

  8. Enter a rule name in the field provided.

  9. Select one of the following file format type from the pull-down menu:

    • [PDF – Image Only]

    • [PDF Searchable]

    • [XPS Image Only]

    • [XPS Searchable]

    • [Multi-Page TIFF].

  10. Set the Print Local Copy option to [Always] or [On Error Only].

  11. Click on the check box next to [E-mail] in the Forward to Email section to insert a check mark.

  12. Enter up to five (5) e-mail addresses to forward the fax to.

  13. Enter an e-mail address in the From Address field. This will be the e-mail address in the Fax Forward From field. The From Name is optional - it is used to identify the sender of the e-mail.

  14. Enter a subject for the e-mail in the Subject field.

  15. If necessary, modify the attachment name by clicking on the [Customize] button and changing the name. The default name is "Fax."

  16. If necessary, edit the information in the Message Text field.

  17. If necessary, enter a signature in the Signature field. This information will be displayed in the body of the e-mail, below the message.

  18. Scroll down the window and click on [Apply].

  19. Click on the radio button in the rule you created and set the rule for fax line 1 or 2.   This is only necessary if the printer is configured with two fax lines.

  20. Click on [Apply]. Incoming faxes will now forward to the e-mail address configured above.
