Create a Network Scanning Repository for SMB or FTP Using CentreWare Internet Services (CWIS)

The Network Scanning option enables the printer to convert hard copy originals into electronic files to be saved to a Network Scanning Repository for later retrieval. The Network Scanning Repository may be on a server or computer on the network.

NOTE: Before beginning this solution, make sure the following items have been performed. If necessary, contact your System Administrator for assistance.

  • Make sure the user account to be used for accessing the computer has been created and a password has been assigned.

  • Make sure the destination folder has been created on the computer and that sharing has been enabled.

  • Obtain the IP address of the Network Scanning Repository where the shared destination folder was created.

  1. From a computer, open an Internet browser window.

  2. Enter the IP address of the printer in the Address field, and then press [Enter] on the keyboard. The CentreWare Internet Services window will be displayed.

  3. Click on the [Properties] tab. The Properties window will be displayed.

  4. Click on the [Services] link. A list of available selections will be displayed.

  5. Click on the [Network Scanning] link.

  6. Click on the [File Repository Setup] link.

  7. Click on the [Add] or [Edit] button, located below the Default File Destinations heading. The Filing Destination window will be displayed.

    NOTE: Below the Default File Destinations heading is the option to add or edit up to three alternate file destinations.

  8. Enter a name in the Friendly Name field. For example, the name "Purchasing Department" might be used to indicate who are the primary users of the repository.

  9. Select either [SMB] or [FTP] from the Protocol menu.

    NOTE: The default port number the printer uses for SMB is 139. The default port number that the printer uses for FTP is 21. Contact your System Administrator if you are not sure what port number is being used by either protocol chosen on the network.

  10. Select either the [IP Address] or [Host Name] radio button from the Name or IP Address section. This is the IP address or Host Name of the server to which the scanned images will be saved.

    NOTE: If Host Name is selected and scanning fails to work after all of the steps are followed below, contact your System Administrator to verify that the printer’s DNS information is properly configured for the network that it is connected to.

  11. Enter the IP address and Port, or Host Name and Port for the required server.

  12. If SMB protocol is being used, enter the name of the shared folder located on the specified server in the Share field. The share name is not case sensitive. If using FTP, no entry is required (the Share field will not be displayed).

  13. If necessary, enter the path to the location for the folder located on the specified server in the Document Path field. The Document Path field is not case sensitive. The full path to the folder should be entered.

    • If using SMB, no document path is required unless there are subdirectories within the shared folder. Below are two examples of what SMB entries would look like in the File Repository Setup menu.

      For Windows XP Professional, Vista, 7 and Macintosh OS 10.5.x and 10.6.x SMB - the example in the screen shot is setup to connect to a computer via an IP address. The shared folder is called "scans".  Inside of the scans folder is a folder called "subfolder". The login for the Network Scanning Repository is "Test".  A password was used. The password fields are blanked out after the password is saved.

      For Macintosh OS 10.4.x SMB - the example in the screen shot is setup to connect via an IP address of a computer. The shared folder is called "Scans" which is located on the Macintosh desktop. The login for the Network Scanning Repository is "MacUser". A password was used. The password fields are blanked out after the password is saved.

    • If using FTP, the path should start from the root of the FTP Services Server. Below is an example of scanning to an FTP Server.

  14. Enter the required login name and password of the server to which the scanned images will be saved in the fields provided. Both the login name and password are case sensitive and must match the format of the computer or server being scanned to. This will enable the printer to access the default Network Scanning Repository.

    NOTE: If the Network Scanning Repository that is being scanned to is a part of a domain controller, then contact your System Administrator for the correct login name format and password. (Avoid using a login name that contains spaces.)

  15. Click on [Apply]. A default template can now be used on the printer.

    NOTE: The template can be modified or a new template can be created using CentreWare Internet Services. See the Related Content.

  16. If prompted for the Administrator login, type: admin in the Username field and then enter the current Administrator password in the Password field.

    NOTE: If you do not know the system password, contact your System Administrator. The initial system password at machine install is "1111". If the password has been changed, contact your System Administrator for assistance. If the password is unknown (or has been lost or forgotten), a service call is required to reset the information. Contact Support to have a service call placed.

  17. Close the browser window.
