Scanning service enables users to create a digital version of a hard copy document which can be sent to a computer over the network or through a USB connection. The document can be scanned in color, grayscale, or black and white, and the digital file can then be sent to a specified destination.

You can physically scan a document to a computer connected to the device in one of two ways:

  • USB Connection: To scan to a computer connected directly to the device, use a USB cable connection.

  • Network Connection: To scan to a computer on the network, from the printer.

This article provides instructions to scan using any of these three options:

Before you begin:

  • For Windows computers, the Xerox B205 Windows PrintDrivers Utilities package must be installed, with Xerox Easy Printer Manager.

  • For Macintosh OS 10.14 and lower, the driver packet Xerox_B205_MacOS_Utilities_PrintDriver_Signed.dmg must be downloaded, and the scan driver “MAC_ICDM” and Easy Printer Manager application must be installed.

  • For Macintosh OS 10.15 and above, the driver packet Xerox_B2xx_Series_Print_Scan_Drivers_.dmg must be downloaded, and the scan driver “MAC_ICDM” must be installed.  With this scan driver installed, use the embedded Mac Image Capture application to scan.

Note: Xerox Easy Print Manager is no longer supported for Mac OS 10.15 or above.



Option 1: Scanning - Using Xerox Easy Printer Manager

Note: Xerox Easy Print Manager is no longer supported for Mac OS 10.15 or above. Mac OS users 10.15 and above can use default scanning software that comes pre-installed on your computer such as Image Capture.

  1. At the printer, load originals face up into the automatic document feeder, or place a single original face down on the document glass.

  2. At your computer, open Xerox Easy Printer Manager.

  3. Click the Printer menu, then from the list, select the printer required. When printing using USB select the USB Port of the printer.  When printing using the network select the IP address or Host name of printer.

  4. Click Home, then click Scan. The Easy Document Creator utility opens.

  5. To scan, select Quick Scan or Advanced Scan.

  6. Click Save to save your scanned image and send it to the location specified.

  7. Use Scan More to scan additional documents if required.
     



Option 2: Scanning – Using Scan to Local PC Option on the Printer Control Panel

Before you begin:

    • To use Scan to local PC the printer must be connected to your PC or Workstation using a USB cable connection.

    • Scan to local PC is supported for Windows and Mac OS 10.14 and below.

    • The Scan driver must be installed.

    • Scan to local PC requires Xerox Easy Print Manager.

      Note: Xerox Easy Print Manager is no longer supported for Mac OS 10.15 or above.

      • If you have not enabled scan in Easy Printer Manager from your computer, your computer will not appear as a destination in the Scan to PC service. Please follow the steps below. 

      • If you have already enabled scanning from the Easy Printer Manger, skip step 2.

  1.  Enabling Scan from Xerox Easy Printer Manager.

    1. At the printer, load originals face up into the automatic document feeder, or place a single original face down on the document glass.

    2. At your computer, open Xerox Easy Printer Manager.

    3. Click the Printer menu, then from the list, select the printer required. When printing using USB select the USB Port of the printer.  When printing using the network select the IP address or Host name of printer.

    4. At the top of the Xerox Easy Printer Manager window, select Advanced Setting or Machine Settings.

    5. Click Scan to PC Settings. The Scan to PC Settings screen appears.

    6. For Scan activation, select Enable.

    7. Select the scan features required:

      • Color Mode or Output Color: Select to produce black and white, grayscale or color output.

      • Resolution: Affects the appearance of the scanned image. A higher resolution produces a better quality image. A lower resolution reduces communication time when sending the file over the network.

      • Scan Size or Original Size: Allows you to specify the size of the image to be scanned.

      • Original Type: Used to improve the image quality by selecting the document type for the originals.

      • Darkness or Lighten/Darken: Adjusts the lightness or darkness of the output.

    8. Select your File Settings:

      • Save to: Browse to the location where you want your scanned file to be saved.

      • File Format: Determines the type of file created.

      • OCR Language: If scanning to a format compatible with OCR, select OCR settings.

    9. For Actions after Saving select an option.

    10. Click Save at the bottom of screen to save your scan and file settings.

      Note: You can also select Default to set the device to scan using the default settings.

  2. Scan from the printer using the Scan to local PC option:

    1. Press the Scan button on the Printer Control Panel.

    2. Load your original documents:

      • Use the document glass for single pages or paper that cannot be fed using the automatic document feeder. Lift the document feeder, then place the original document face down in the upper-left corner of the document glass.

      • For single or multiple pages, use the automatic document feeder. Remove any staples and paper clips from the pages. Insert the original documents face up in the document feeder, with the top of the page entering the feeder first. Adjust the paper guides so that they fit against the original documents.

    3. Press the Up or Down Arrow button until the Scan to PC option is displayed, then press the OK button.

    4. Press the Up or DownArrow button until the Local PC option is displayed, then press the OK button.

      Note: 

      • If the Scan to Local PC option is not displayed, make sure the printer is connected to the computer with a USB Cable.

      • If a Not Available message is displayed, check the connection is secure and settings are correct. 

    5. Press the Up or Down Arrow button until the required scan destination is displayed, then press the OK button.

    6. Adjust the scan settings as needed:

      • To save the scanned document with a specific file format, press the Up or DownArrow to display the attachment file format required, then press the OK button.

      • Configure all other features, such as Output Color or Original Type, as needed.

        Note: Use the Up or DownArrow button to access all feature screens.

    7. Press Scan button. 

      Note: If scanning from the Document Glass:

      • Single Document:  Use the Up or Down Arrow button to until No is displayed on the Control Panel then press the OK button. The scanning is completed and sent to the destination selected in the job.To return to the home screen, press the Home button.

      • Multiple Page Document: 

        1. Press the Up or Down Arrow button until Yes is displayed, then press the OK button 

        2. Load the next original and press the Scan button.

        3. Repeat the process until all originals are scanned.

        4. Once all originals are scanned, select the OK button when No is displayed on the Control Panel. The scanning is completed and sent to the destination selected in the job.To return to the home screen, press the Home button.



Option 3: Scanning – Using Scan to Network PC option on the Printer Control Panel

Note: This method does not require Easy Printer Manager and is available for Mac OS 10.15 and higher.

Before you begin:

      • Make sure your PC and Printer are on the same subnet network.

      • Make sure the scan driver is installed on your computer.

    1. At the printer control panel, press the Scan button.

    2. Load your original documents:

      • Use the document glass for single pages or paper that cannot be fed using the automatic document feeder. Lift the document feeder, then place the original document face down in the upper-left corner of the document glass.

      • For single or multiple pages, use the automatic document feeder. Remove any staples and paper clips from the pages. Insert the original documents face up in the document feeder, with the top of the page entering the feeder first. Adjust the paper guides so that they fit against the original documents.

    3. Use the Up or Down arrow button until the Scan to PC is displayed then press the OK button.

    4. Press the Up or Down arrow button until Network PC is displayed then press the OK button. A list of available address destinations will appear.

      Note: If a Not Available message is displayed check the connections and settings.

    5. Press the Up or Down arrow button to display the computer destination required, then press the OK button.

    6. Adjust the scan settings as needed:

      • To save the scanned document with a specific file format, use the Up or Down arrow button to display the attachment file format required, then press the OK button.

      • Configure all other features, such as Output Color or Original Type, use the Up or Down arrow button to display the required feature, make the selection then press  the OK button.

    7. Press the Scan button. The device will begin scanning.

      Note: If scanning from the Document Glass:

        • Single Document:  Use the Up or Down Arrow button to until No is displayed on the Control Panel then press the OK button. The scanning is completed and sent to the destination selected in the job.To return to the home screen, press the Home button.

        • Multiple Page Document: 

          1. Press the Up or Down Arrow button until Yes is displayed, then press the OK button 

          2. Load the next original and press the Scan button.

          3. Repeat the process until all originals are scanned.

          4. Once all originals are scanned, select the OK button when No is displayed on the Control Panel. The scanning is completed and sent to the destination selected in the job.To return to the home screen, press the Home button.
