Add an Annotation (Stamp, Date, and Page Number) to the Copy Output

The Annotation feature can be used to add a stamp, date, and page number to the copies being made when a stamp, date, or page number is not included on the original. There are several options of stamp types and positions, date positioning, and page number styles.
When the Annotation feature is enabled, if the number of originals exceeds the maximum that the machine can scan (2,000 pages per job), the portion of the originals already scanned cannot be printed, copied, or saved. In this case, cancel the job following the message that is displayed.
The annotation image and character size will not change even if the Enlarge / Reduce setting is used.
If a stamp, date, and page number are specified at the same time, make sure that none of the positions overlap before making copies.
If Multiple-Up feature is used, the annotation is added to the combined image.
If the Repeat Image or Booklet Creation feature is used, the annotation is added to each individual image.
No Annotation can be printed on sheets loaded in the Post-Process Inserter Tray (Tray 8).
To add an Annotation:
Click on the annotation to add to the copy output from the following options:
Comment Annotation: The Comment Annotation feature can be used to add a comment stamp to the copy output.
Date Stamp Annotation: The Date Stamp Annotation feature can be used to add the date and time the copy was made to the copy output.
Page Number Annotation: The Page Number Annotation feature can be used to add page numbers to the copy output.
Bates Stamp Annotation: The Bates Stamp feature can be used to place an alphanumeric prefix, followed by a sequential page number in the margins of the copy output.
NOTE: New comment stamps can be created or existing comment stamps can be edited. To create a new or edit an existing comment stamp, see the Related Content.
From the Copy screen, select the [Output Format] tab.
Select [Annotations]. The Annotations screen will be displayed.
From the Annotations screen, select [Comment].
Select [Comment] again.
Select the required comment stamp from the displayed list.
Select [Apply to], select the required options, and then select [Save].
Select [Position], select the required options, and then select [Save]. The Comment screen will be displayed.
Select [Save] again.
To add a Date Stamp Annotation:
From the Copy screen, select the [Output Format] tab.
Select [Annotations]. The Annotations screen will be displayed.
From the Annotation screen, select [Date Stamp]. The Date Stamp screen will be displayed.
Select [Date Stamp] again.
Select the required date stamp format.
Select [Apply to], select the required options, and then select [Save].
Select [Position], select the required options, and then select [Save]. The Date Stamp screen will be displayed.
Select [Save] again.
To add a Page Number Annotation:
From the Copy screen, select the [Output Format] tab.
Select [Annotations]. The Annotations screen will be displayed.
From the Annotation screen, select [Page Numbers]. The Page Numbers screen will be displayed.
Select [Page Numbers] again.
Select the [Up] or [Down] arrow button to select the starting-page number.
Select [Apply to], select the required settings, and then select [Save].
Select [Position], select the required settings, and then select [Save]. The Page Number screen will be displayed.
Select [Save] again.
To add a Bates Stamp Annotation:
NOTE: A new bates stamp can be created or an existing bates stamp can be edited. To create a new or edit an existing bates stamp, see the Related Content.
From the Copy screen, select the [Output Format] tab.
Select [Annotations]. The Annotations screen will be displayed.
From the Annotations screen, select [Bates Stamp]. The Bates Stamp screen will be displayed.
Select [Bates Stamp] again.
Select the required Bates Stamp from the displayed list.
Select the [Up] or [Down] arrow to specify the Starting Number.
Select [Apply to], select the required options, and then select [Save].
Select [Position] button, select the required options, and then select [Save].
Select [Number of Digits], select the required options, and then select [Save]. The Bates Stamp screen will be displayed.
Select [Save] again.
