Set up Scan to a Folder on Your Network PC Using the WorkCentre Address Book and Windows OS

Note: This setup should be performed after you have completed the general setup of your product and are connected to the network you will be using. This procedure requires knowledge of the network on which your product is installed and may require the assistance of a System or Network Administrator.

To setup Scanning to a folder on your computer (PC), the following steps need to be followed:

  • Section 1: Print a Configuration Report (from your Multi-Function Printer (MFP) to obtain the MFP's IPv4 address)

  • Section 2: Enable a Secure Connection to your MFP (from your MFP)

  • Section 3: Configure the Primary Network (from your MFP - define the identity of the network for scanning)

  • Section 4: Record your PC's IPv4 or Hostname (from your PC, get your PC's name) where your scan folder will reside (using the ipconfig command)

  • Section 5: Turn Off the Sharing Wizard (from your PC)

  • Section 6: Create a Shared Folder (from your PC)

  • Section 7: Setup your Address Book (from your MFP - configure the scan destination)

  • Section 8: Test Scanning Setup (from your MFP)

SECTION 1: Print a Configuration Report - from your MFP

Print a Configuration Report to get the IPv4 Address of the device. The Configuration Report lists MFP information such as default settings, installed options, network settings including IP address, and font settings.

  1. Ensure your MFP is powered on and you can see the icons on its control panel.

  2. At the MFP's control panel, press the Home button.

  3. Find and touch the Device icon from the home screen.

  4. Touch About.

  5. Scroll down through the list and touch Information Pages.

  6. Touch Configuration Report to print the report.

  7. The MFP's IPv4 Address is listed in the Connectivity section of the Configuration Report. Locate and save the IPv4 Address for later use in Section 7.

  8. Press the Home button to return to the Home screen.

SECTION 2: Enable a Secure Connection to the MFP

Set the MFP for secure communications to setup and maintain its features.

  1. On the printer's control panel, press the Home button.

  2. Log in to the control panel as an administrator.

  3. Touch Device.

  4. Touch Connectivity.

  5. Scroll down and verify that the HTTPS box is checked. If not, touch on the checkbox to enable this security setting.

  6. Press the Home button to return to the Home screen.

SECTION 3: Configure the Primary Network (if using the optional Wi-Fi adapter for your network connection) - from your MFP

NOTE: If you are using the wired connection of the MFP on your network, skip Section 3 and proceed to Section 4. The primary network can be set from the control panel of the MFP.

  1. On the printer's control panel, press the Home button.

  2. Log in to the control panel as an administrator.

  3. Touch Device.

  4. Touch Connectivity.

  5. Touch Primary Network and select the appropriate network type for how the MFP is connected. If the MFP is connected with an Ethernet cable, select Ethernet. If the optional Wireless Network Adapter is installed and connected to a wireless network, then select Wi-Fi.

SECTION 4: Record the PC's IPv4 or Hostname - from your PC

Note: Domain Name Server (DNS) must be configured and working on your network to use the Host Name.

  1. From your Windows PC keyboard, press and hold the Windows Key while pressing the Rkey. A dialog box will open. Type cmd and select OK.

  2. In the cmd window (black dialog box), at the blinking cursor, type ipconfig and press Enter. Locate and record the IPv4 Address of your computer for use in Section 7.

  3. In the cmd window, type hostname and press Enter. Record the hostname for use in Section 7.

  4. Close the window.

SECTION 5: Turn off sharing Wizard - from your PC

  1. Open "File Explorer Options" from your windows PC by selecting windows key + R, then type control folders and select OK.

  2. Click on the View tab.

  3. Uncheck Use Sharing Wizard (recommended) in the Advanced Settings section.

  4. Click on Apply and then OK. The dialog box will close.

SECTION 6: Create a Shared Folder - on your PC

Create a shared folder on the computer where you would like to deposit your scan images.

  1. At the computer, right-click on an empty space on the desktop.

    Note: You can create the shared folder wherever you would like the scanned images to be deposited on the computer. It does not have to be created on the Desktop, but will need access by the login credentials you provide in Section 7.

  2. Click on New and select Folder.

  3. Enter a name for the folder and press Enter. Example 'Scans'.

    Note: You can also setup a subfolder within the new folder you create. Xerox recommends starting with one folder initially. If you do so this would be entered at Section 7, step 11 for Document Path.

  4. Select the folder (in this example Scans) and right-click and select Properties.

  5. Click on the Sharing tab.

    Note: Advanced Sharing may also need to be selected based on the version of Windows OS

  6. Click on the Advanced Sharing button.

  7. Place a check mark in the box next to Share this folder.

  8. Click on the Permissions button.

  9. Place a check mark in the box next to Full Control in the Permissions for Everyone column.

  10. Click on Apply and then select OK.

  11. Click on Apply and then select OK to return to the share folder properties screen.

  12. Click on Close.

SECTION 7: Setup Your MFP's Address Book - from your PC

You will use your own login credentials. This is your login name and password for your computer. This can be either a Microsoft Account or a Local Account.

  1. From a computer on the same network as the MFP, open a Web browser.

  2. In the browser Address field, enter https://IPv4 for your MFP (IPv4 was provided in Section 1, step 5) and press Enter to access the device's Embedded Web Server.

    Note: The web browser will display a certificate warning page. Select the choice to continue to the webpage. Once accepted, you should see the page.

  3. Click on Address Book.

  4. Click on Add Contact.

  5. Enter First Name, Last Name or Company (optional) in the fields provided.

  6. Click the + icon next to Network (SMB).

  7. Optional: Enter a name (nickname) that you want to appear in the address book in the Nickname field.

  8. Click in the Type field and then either select IPv4 or Host Name.

  9. In the IP Address: Port field, enter IP address or the Hostname of the computer (from Section 3).

    Note: Hostname is recommended as it normally maintains the connection even if the IP address is changed.

  10. Enter port number 445 in the port field. There may be occasions where you may want to use the default port 139.

  11. Enter the name of the folder that you created in section 6, step 4 in the Share field.

    Note: If you want to verify your shared folder name, you can enter \\localhost in the File Explorer navigation field

    Note: The Document Path is an optional field and is not required for initial setup.

  12. Enter the computer user name in the Login Name field.

  13. Enter the Password and then retype the Password in the fields provided.

    Note: The login is that assigned on the PC where you created the Shared folder. If the login does not contain a password leave both password fields blank.

  14. Click OK in the SMB window then again in the Add Contact box.

    Note: The MFP will indicate on the touch screen that it is actively updating the information. When completed, the touch screen will refresh.

SECTION 8: Test Scanning Setup - from your MFP

Verify that the settings for the SMB scanning are correct by performing a test scan at the machine.

  1. Load the original on the document glass or in the document feeder.

  2. Press the Home button on the control panel, and then touch Address Book.

  3. Select your name in the address book list.

  4. Select the destination.

  5. Touch Scan.

  6. Press the Home button to return to the Home screen. Your scanned image should be in your shared folder on your computer.
