Set up Scan to PC With SMB Using the Address Book and Microsoft Windows 7

NOTE: This solution requires knowledge of the network on which the printer is installed and may require the assistance of a System or Network Administrator.

To setup SMB Scanning, the following six steps must be completed:

  1. Print a Configuration Report.

  2. Configure the Primary Network.

  3. Use ipconfig /all to Find the IPv4 Address or Host Name (Computer Name).

  4. Create a Shared Folder.

  5. Configure the Filing Destination in the Address Book.

  6. Test Scanning Setup.

Print a Configuration Report

Print a configuration report to get the IPv4 Address of the device. The Configuration Report lists printer information such as default settings, installed options, network settings including IP address, and font settings.

  1. At the printer's control panel, press the Home button.

  2. Touch Device.

  3. Touch About.

  4. Scroll through the list and touch Information Pages.

  5. Touch Configuration Report.

  6. Press the Home button to return to the Home screen. You can find the printer's IPv4 address in the Connectivity section of the configuration report.

Configure the Primary Network

The primary network can be set from the control panel of the printer.

NOTE: The primary network can also be set using the Embedded Web Server. See the Related Content for additional information.

  1. At the printer's control panel, press the Home button.

  2. Log in to the control panel as an administrator.

  3. Touch Device.

  4. Touch Connectivity.

  5. Touch Primary Network and select the appropriate network type for how the printer is connected. In the printer is connected with an Ethernet cable, select Ethernet. If the optional Wireless Network Adapter is installed and connected to a wireless network, then select Wi-Fi.

  6. Press the Home button and then touch Restart Now to restart the printer. A restart is required for the new setting to take effect.

Use ipconfig /all to Find the IPv4 Address or Host Name (Computer Name)

NOTE: Domain Name Server (DNS) must be configured and working on your network to use the Host Name.

  1. At the computer, click on the Start icon.

  2. In the Search programs and files field, type cmd.

  3. Click on cmd. The command prompt window displays.

  4. At the blinking cursor, type ipconfig /all and press Enter.

  5. Locate and write down the IPv4 Address of your computer. If you are using multiple network cards, make sure that you look at the network device that is connected to your network. Your active IPv4 address maybe listed under "Wireless LAN adapter Wireless Network Connection" or "Ethernet adapter Local Area Connection".

  6. Locate and write down the Host Name of your computer. This is typically the first entry in the Windows IP configuration response.

  7. Click X to close the command prompt window.

Create a Shared Folder

Create a shared folder on the computer where you would like to deposit your scan images.

  1. At the computer, right-click on an empty space on the desktop.

    NOTE: You can create the shared folder where you would like the scanned images to be deposited on the computer. It does not have to be created on the Desktop.

  2. Click New and then select Folder.

  3. Enter a name for the folder and press Enter. Example scans.

  4. Click the Start icon.

  5. In the Search programs and files field, type Folder Options.

  6. Click on Folder Options.

  7. Click the View tab.

  8. Uncheck Use Sharing Wizard (Recommended) in the Advanced Settings section.

  9. Click Apply and then click OK.

  10. Select the folder (in this example scans) and right-click and select Share with.

  11. Click Advanced Sharing.

  12. Click the Sharing tab.

  13. Click the Advanced Sharing button.

  14. Place a check mark in the box next to Share this folder.

  15. Click the Permissions button.

  16. Place a check mark in the box next to Full Control in the Allow column in the Permissions for Everyone.

  17. Click Apply and then click OK.

  18. Click Apply and then click OK.

  19. Click the Security tab and verify the scan user has proper permissions to login and deposit images into the folder.

  20. If the scan user is not listed, click Edit and then click Add to grant the scan user the permissions to the folder. In the Enter the object names to select, type the user name and click Check Names and set the permissions (i.e. Full Control).

  21. Click Apply and then click OK.

  22. Click Close.

Configure the Filing Destination in the Address Book

You will use your own login credentials. This is your user name and password for your computer. This can be either a Microsoft Account or a Local Account.

NOTE: If you prefer not to use your own login credentials, you can create a local user on the computer for the purpose logging into the computer to deposit scanned images into the shared folder.

  1. From a computer, open a Web browser.

  2. In the browser address field, enter the IP address for your printer and press Enter to access the Embedded Web Server.

  3. Click on Address Book.

  4. Click on Add Contact.

  5. Enter First Name, Last Name or Company (optional) in the fields provided.

  6. Click the + icon next to Network (SMB).

  7. Enter a name (nickname) that you want to appear in the address book in the Nickname field.

  8. Click on IPv4 or Host Name for Type.

  9. In the IP Address: Port field, enter IP address of the computer and enter the port number 445. There may be occasions where you may want to use the default port 139.

  10. Enter the name of the folder that you created in the Share field.

  11. If necessary, in the Document Path, type the directory path of the folder starting at the root of the shared folder.

  12. Enter the computer user name in the Login Name field.

  13. Enter the password and then retype the password in the fields provided.

  14. Click OK twice.

Test Scanning Setup

Verify that the settings for the SMB scanning are correct by performing a test scan at the machine.

  1. Load the original on the document glass or in the document feeder.

  2. Press the Home button on the control panel, and then touch Address Book.

  3. Select your name in the address book list.

  4. Select the destination.

  5. Touch Scan in the upper right corner.

  6. Press Home button to return to the Home screen. Your scanned image should be in your shared folder on your computer.
