Configure a Server Message Block (SMB) Workflow Scanning Repository / Folder

A file repository is a network location where scanned images are stored. Configure the file repository settings before you create a template.
NOTE: A total of 5 repositories may be configured, the Default repository and 4 Alternate repositories.
NOTE: This solution requires knowledge of the network on which the printer is installed and may require the assistance of a System or Network Administrator.
NOTE: Xerox is not responsible for managing a customer’s Network, Computers, or Servers.
Prerequisites:
Make sure SMB services are running on the server or computer where you want to store scanned image files. Make note of the IP address or Host Name of the Server or computer.
On the SMB server, create a shared folder. This folder will be your file repository. Make note of the directory path, share name of the folder the computer name, or server name.
Create a user account and password with local Administrative access for the printer to use to access the repository folder. Make note of the user name and password.
Test the connection by logging into the file repository from a computer on the same network as the Xerox machine, using the user name and password. Create a test folder in the shared folder, then delete the test folder.
If this function cannot be completed check the user account access rights.
NOTE: By default, third party firewall programs can block read or read/write access to shared folders on a computer. If necessary, contact your third party firewall vendor to ensure that either the printer's IP address (if statically set) or MAC address (as well as any other computers you would like to access that share on the same network) is fully trusted by that firewall program.
Access CentreWare Internet Services (CWIS) and if necessary, login as System Administrator. See the Related Content for additional information.
Click on the Properties tab.
Click on Services on the left side of the window.
Click on Workflow Scanning.
Click on File Repository Setup.
Click on Add New.
NOTE: The Default File Destination is recommended if it is not already in use; however, note that Xerox CentreWare Workflow Scanning and Xerox Freeflow SMARTsend only work with the Default File Destination. Modifying the existing scanning information in a Repository will affect everyone currently scanning to that Repository. You may want to contact your System Administrator before making any changes.In the Friendly Name field, enter a name for the repository.
From the Protocol menu, select SMB.
Select the address type. Options include:
IPv4
Host Name
Enter the appropriately formatted address and port number of your SMB server / computer.
NOTE: The default port number for SMB scanning is 445. If unsure of the port used for SMB file sharing on your network, contact your System or Network Administrator.
NOTE: If the IP address of the computer that the printer will scan to is not static (dynamic), it is recommended to enter the host name instead of the IP address. However, when using a host name, the printer must be configured with the correct DNS settings or the printer will not be able to resolve the name to an IP address. See the Related Content for additional information.In the Share field, enter the name of the Share Name of the shared folder.
For example: If the share name is "scans", then enterscans
in the Share field.
NOTE: The leading \\ is not required before the sub folder name in this field.In the Document Path or Default Repository Document Path field, enter the directory path of the folder starting at the first folder level inside the Shared Folder.
For example: If you would like to scan to a sub folder called Myscans, with a path of Scans\\Users\\Myscans, you would enterUsers\\Myscans
in the Document Path field.
NOTE: The leading \\ is not required before the sub folder name in this field.If you want the printer to create .xsm subfolders for single page format files, keep selected Sub-folder (.xsm) for 1 File Per Page, File Format jobs. If you do not want the printer to create .XSM subfolders for single page formats, then click the box Sub-folder (.XSM) to deselect this option.
Under Default Repository Login Credentials, select an option:
Authenticated User and Domain: instructs the printer to use the user name and domain of the logged-in user when accessing the repository.
Logged-in User: instructs the printer to log in to the repository using the credentials of the logged-in user.
Prompt at User Interface: instructs the printer to prompt users at the Control Panel for the repository credentials.
System: instructs the printer to use specific credentials when accessing the repository. If you select System, enter the credentials in the User Name and Password fields. To update an existing password, select Select to save new password.
Click on Save.
