Load and Print on Envelopes

CAUTION: Damage to the printer can be caused by using unsupported paper, transparencies, envelopes, and other specialty stock not covered by the Xerox warranty, Service Agreement, or Total Satisfaction Guarantee. The Total Satisfaction Guarantee is available in the United States and Canada. Coverage may vary outside these areas, so contact your local representative for details.

Never use envelopes with windows or metal clasps; they can damage the printer.

Before you begin, review the guidelines for printing on envelopes. See the Related Content for additional information.

To load and print on envelopes in Paper Tray 1:

  1. Pull Paper Tray 1 completely out of the printer.

    Remove paper tray

  2. Remove any stock loaded in the tray.

  3. Load the envelopes into the tray. Do not load more than 10 envelopes in the tray.

    • For #10 Commercial, C5, and B5 envelopes, place the envelopes in the tray flap-side down with the top of the envelopes toward the left of the printer.

    • For Monarch and DL envelopes, place the envelopes in the tray flap-side down with the top of the envelope entering first.

      NOTE: Do not load any paper stock above the maximum fill line indicated on the paper tray. Overloading the tray may cause jams.

  4. Adjust the paper edge guides to fit the envelopes.

  5. Insert the paper tray into the slot, and then push the tray completely into the printer.

  6. Press the [OK] button on the Control Panel if the correct size and type and 'Envelope' is displayed on the Display Screen.

  7. Modify the paper size and type:

    1. Press the [Up] or [Down] arrow button until 'Change setup' is displayed on the Display Screen, and then press the [OK] button.

    2. Press the [Up] or [Down] arrow button until 'Envelope' is displayed, and then press the [OK] button.

    3. Press the [Up] or [Down] arrow button until the appropriate paper size is selected, and then press the [OK] button.

  8. Print the document. In the print driver, make sure to select either [Envelope] as the paper type or [Tray 1] as the paper source.

To load and print on envelopes in Paper Trays 2 – 4:

  1. Pull the paper tray out of the printer.

  2. Remove any stock loaded in the tray.

  3. Load the envelopes into the tray. Do not load more than 75 envelopes in the tray.

    • For #10 Commercial, C5, and B5 envelopes, place the envelopes in the tray flap-side down with the top of the envelopes toward the left of the printer.

    • For Monarch and DL envelopes, place the envelopes in the tray flap-side down with the top of the envelope entering first.

      NOTE: Do not load any paper stock above the maximum fill line indicated on the paper tray. Overloading the tray may cause jams.

  4. Adjust the paper edge guides to fit the envelopes.

  5. Insert the paper tray into the slot, and then push the tray completely into the printer.

  6. Make sure to select the correct paper tray:

    1. Press the [Up] or [Down] arrow button on the Control Panel until 'Paper Tray Setup' is displayed on the Display Screen, and then press the [OK] button.

    2. Press the [Up] or [Down] arrow button until the required paper tray (Tray 2, 3, or 4) is displayed, and then press the [OK] button.

  7. Make sure to select the correct envelope size and type.

    • If the correct envelope size and type are displayed, press the [Up] or [Down] arrow button until 'Use current setup' is displayed, and then press the [OK] button.

    • To modify the envelope size and type:

      1. Press the [Up] or [Down] arrow button until 'Change setup' is displayed, and then press the [OK] button.

      2. Press the [Up] or [Down] arrow button until 'Envelope' is displayed, and then press the [OK] button.

      3. Press the [Up] or [Down] arrow button to select the appropriate paper size, and then press the [OK] button.

  8. Print the document. In the print driver, make sure to select either [Envelope] as the paper type or the correct paper tray (Tray 2, 3, or 4) as the paper source.
